IceSkating.London respects your privacy and is committed to handling personal information responsibly and transparently.
This Privacy Policy explains what personal information is collected when you visit IceSkating.London, make an enquiry or book coaching directly through IceSkating.London, why it is used, how it may be shared and your rights in relation to that information.
1. Who is responsible for your information?
IceSkating.London is operated by Marika Baranova, sole trader, in England.
For data protection purposes, Marika Baranova trading as IceSkating.London is the data controller for personal information processed in connection with coaching services provided directly by IceSkating.London.

Other independent coaches may be featured or linked from the IceSkating.London website. Where you follow a link to an independent coach’s separate booking account, that coach is responsible for the personal information collected through their own booking arrangements. Their own privacy information should be consulted.
2. Information we may collect
Depending on how you use our website and services, we may collect:
your name;
email address and telephone number;
booking details, including the service, date and time booked;
the name of the Skater where the person booking and the Skater are different;
the Skater’s age where requested;
information about whether the Skater has their own ice skates;
information about skating level, experience or tests being worked towards;
information relating to Patch Ice access or eligibility where relevant to the service booked;
information about whether a Skater has an existing personal skating coach where relevant to restricted-access coaching;
information you choose to provide in connection with an enquiry or booking; and
limited information you voluntarily provide about anything relevant to a Skater’s safety or participation where this may help the Coach adapt a coaching session appropriately.
Payment-card details are processed by our payment provider. IceSkating.London does not receive or store your complete payment-card details.
3. Why we use your information
We use personal information where necessary to:
provide and administer coaching bookings;
communicate with you about a booking, including changes, cancellations or other matters affecting the service;
identify the correct Skater at the Venue, particularly where meeting a new Client during a public skating session;
prepare appropriately for coaching, including understanding relevant skating experience, test level or equipment information;
administer restricted-access coaching and Patch Ice arrangements where applicable;
respect existing professional coaching relationships where a Skater already has another personal skating coach;
process payments, refunds and booking changes;
respond to enquiries;
keep appropriate business, transaction and accounting records;
protect the safety of Skaters, Coaches and others; and
comply with legal and regulatory obligations.
We do not currently use booking information to send general marketing emails or newsletters.
4. Our lawful bases for using personal information
Different lawful bases may apply depending on why information is being used.
Contract
We process information where this is necessary to take steps at your request before making a booking or to perform our contract with you.
This includes information needed to arrange, administer, change or provide a booked coaching service and communicate with you about it.
Legal obligation
We may process and retain information where necessary to comply with legal obligations, including tax, accounting and other regulatory requirements.
Legitimate interests
We may process limited personal information where necessary for our legitimate interests in operating and protecting the coaching business, provided those interests are not overridden by your rights and interests.
These interests may include:
organising coaching efficiently;
identifying and meeting Clients and Skaters at the Venue;
preparing appropriate coaching materials;
maintaining appropriate professional boundaries with existing coaching relationships;
handling queries, disputes or complaints; and
protecting the safety and security of our services.
Consent and special-category information
Where you voluntarily provide health or disability information relevant to safe participation or adapting a coaching session, we rely on your consent for the relevant processing.
Because health information is special-category personal data, we additionally rely on your explicit consent under Article 9(2)(a) of the UK GDPR to process that information.
You may withdraw that consent at any time.
5. Safety, health and other sensitive information
Our booking form does not require Clients routinely to provide medical diagnoses, disability information or a medical history.
For some Personal Coaching Sessions on Public Sessions, you may choose to tell us about something relevant to the Skater’s safety or participation that may help the Coach adapt the session appropriately.
Information provided in this field may include information about health or disability. Health information is special-category personal data under UK data protection law and receives additional protection.
Where you choose to provide health or disability information, we ask for your explicit consent to use that information for the specific purpose of helping us understand and accommodate the Skater’s participation and adapt the coaching session appropriately.
Our Article 9 condition for processing health information supplied in this way is explicit consent under Article 9(2)(a) of the UK GDPR.
You do not have to provide health or disability information in order to make a booking.
Where you provide it, we will use only information reasonably necessary for the stated purpose. We will not use health or disability information for marketing or unrelated purposes.
You may withdraw your consent to our use of this information at any time by contacting marika@iceskating.london.
Withdrawal of consent does not affect the lawfulness of processing which took place before consent was withdrawn.
6. Children
A booking for a Skater under 18 must be made by an adult who has authority to arrange the coaching on the child’s behalf.
We may process limited information about a child where necessary to arrange and safely provide the booked coaching service, including their name, age, skating experience and information voluntarily supplied that is relevant to participation or safety.
We aim to collect only information reasonably necessary for these purposes.
7. Payments and booking services
Online scheduling and booking services are provided using Squarespace Scheduling (Acuity Scheduling).
Payments are processed using Square.
These service providers process personal information as necessary to provide booking and payment functionality and may also process information under their own legal obligations and privacy arrangements.
IceSkating.London does not store complete payment-card details.
8. Website hosting and external links
The IceSkating.London website is hosted using Squarespace.
Our website contains links to external services and websites, including music and social-media platforms and the separate booking pages of independent coaches.
When you follow an external link, the destination website may collect and process information according to its own privacy policy. IceSkating.London is not responsible for the privacy practices of independent external websites.
9. Cookies
The IceSkating.London website uses cookies and similar technologies.
Where required, non-essential cookies are controlled through the website’s cookie-consent system. You can accept, decline or manage optional cookies and subsequently change your preferences using the cookie controls available on the website.

10. Marketing
IceSkating.London does not currently operate an email marketing list or newsletter.
Contact information supplied for enquiries or bookings is used for service-related communications rather than general promotional email marketing.
We may promote IceSkating.London and related projects through publicly available social-media channels, which you may choose to follow independently.
11. Who we share information with
We do not sell your personal information.
Personal information may be processed or shared where necessary with organisations that help us operate the website and provide booked services, including:
Squarespace, including Squarespace Scheduling/Acuity Scheduling;
Square for payment processing;
technology and email service providers where necessary to provide communications; and
professional advisers, regulators, public authorities or other organisations where disclosure is required by law or reasonably necessary to establish, exercise or defend legal rights.
We only share information where there is an appropriate reason to do so.
12. International processing
Some technology providers used by IceSkating.London may process personal information outside the United Kingdom.
Where personal information is transferred internationally, appropriate safeguards must be used as required by applicable data protection law.

13. How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected and to meet applicable legal, accounting or record-keeping requirements.
Booking and transaction information may therefore be retained after a coaching session has taken place where required for business, accounting, tax, dispute-resolution or legal purposes.
Information that is no longer required will be deleted or allowed to expire in accordance with the retention arrangements of the systems through which it is held.
Health or disability information voluntarily supplied for coaching safety or participation purposes will not intentionally be retained separately by IceSkating.London for longer than it is reasonably needed for that purpose, unless there is a legal reason to retain it.
14. Security
We take reasonable steps to protect personal information against unauthorised access, loss, misuse or disclosure.
Personal information used for online bookings and payments is principally held within the systems provided by our website, scheduling and payment-service providers rather than in a separate IceSkating.London client database.

Depending on the circumstances and the lawful basis on which your information is processed, you may have rights including the right to:
ask for access to personal information held about you;
ask for inaccurate or incomplete information to be corrected;
ask for information to be deleted in certain circumstances;
